The Executive Assistant plays a vital role in supporting the SkinVision team. You’ll work directly with our CEO and Leadership Team to maintain a dynamic and collaborative work atmosphere, enabling the team to continue striving towards our mission to save lives.
Job Overview
The Executive Assistant is responsible for supporting our management team and improving our workplace environment. As a highly organized and communicative professional, you will be working closely with our CEO as well as the rest of the Leadership Team, responsible for handling a wide range of administrative and executive related tasks with little or no supervision. You will communicate with internal and external partners, acting as the first point of contact in handling inquiries and solving a variety of different issues.
Daily Drivers
Provide support to the Management team by organizing calendars, attending meetings, writing minutes, circulating to-dos and handling follow-ups
Make travel arrangements for management and other staff members when required
Ensure common areas in the office are organized
Maintain inventory and office supplies. Anticipate office needs and evaluate new office products
Handle a full spectrum of personal details and needs, while maintaining discretion and confidentiality
Make online orders for daily staff lunch and other office supplies
What do you bring?
At a minimum, high school education must be completed along with some form of professional educational training
Hands on experience of at least 5 years as an Office Manager or Executive Assistant
Proficiency of English language both verbally and written. The domain of other languages such as Italian and French are certainly a plus.
Ability to work with different systems, such as Google Docs and MS Office knowledge
Outstanding organizational and time management skills
Acquainted with office management systems and procedures
Excellent communication and interpersonal skills
The instinct to help others and great attention to detail
